Item Tab

To issue an item from inventory, use the Item tab in the Issue page.

  1. Order Number (required): If your division is set for automatic issue order numbering, the system automatically enters an Issue Order number in the Order Number field. If your division is not set for automatic issue order numbering, an order number must be entered in the Order Number field.

  1. Order Date (required): order creation date; system-set at today's date. If you want to enter a different date in this field, click the drop-down arrow in the Order Date field and select the date from the calendar control that appears.
  2. Customer (required): the customer to whom the stock is being issued; the customers available are pulled from the customer list in the system (see "Customers"). Click the drop-down arrow in the Customer field and select a customer from the list that appears (if the system does not contain any customers, the drop-down list will be empty).

  1. Ship To address (optional): click the drop-down arrow in the Ship To field and select a shipping address for the bill to customer from the list that appears. The Ship To address is added to the customer at the Manage Customers page (see "Customer Ship-To Addresses"). If this customer does not contain a ship-to address, the Ship-To list will be empty.
  2. UDF 1 through UDF 4 fields (optional): alpha-numeric text fields; enter any special information about this issue in the UDF 1 through UDF 4 fields.
  3. Enter the item or items to be issued (at least one line item is required).

Issue page - Add Item to Stock Issue Order

  1. Item Number (required): Select the item number to issue from inventory by clicking the drop-down arrow and selecting it from the list.
  2. Site (required): select the inventory site location of the item being issued. The default site of the logged-in user is automatically entered in this field. If the user has access to another site, it may be selected.
  3. Location (required): select the inventory location-UOM quantity of the item being issued. An item must be found in inventory in order to be issued. If the selected item is not contained in inventory for the selected site-location, the location field drop-down list will be blank. In such a case, you would either have to add this item to a site-location to select it for issue, or select another item for issue.
  4. Unit of Measure (required when site uses multiple units of measure): the item unit of measure, based on the item-site-location-UOM quantity selected is automatically placed in this field.
  5. Available Quantity (required): the available site-location-item quantity for the item selected is automatically entered in this field by the system.
  6. Serial Number (required for serialized item only): if the item is serialized, the item's serial number is automatically entered in this field.
  7. Lot (required for lot item only): if the item contains a lot, the item's lot is automatically entered in this field.
  8. Expiration Date (required for expiration date item only): if the item contains an expiration date, the item's expiration date is automatically entered in this field.
  9. RFID Tag Number: (this field is available when RFID is ON for the division) if the item contains an RFID tag number, the tag number is automatically entered in this field.
  10. Quantity (required): the issue amount of the selected item.
    1. If the site does not allow negative quantity, note that if you enter a quantity that is greater than the available quantity, the Issue quantity will reset to the available quantity.
    2. If the site allows negative quantity, a negative issue is allowed.
    3. if the item Uses Serial Numbers, the Issue quantity of 1 is automatically entered; it cannot be changed.
    4. if the item has an RFID tag number, the Issue quantity of 1 is automatically entered; it cannot be changed.
  11. Comment (optional): enter any special information about this issue item.
  12. Click the Add icon to add the line item to the Issue. It will appear as a line item in the Details portion of the page.

  1. (To clear line item information, click the Clear icon. Clear iconThe item fields will clear and this item will not be added as a line item.)
  1. Continue adding items to be issued until you are finished.

  1. Any line item, once added to the Details portion of the page, may be deleted by selecting the Delete icon for this line item.Delete icon
  2. Click the Save icon along the bottom of the page to process the stock issue transaction. Save Icon
  3. The page clears to indicate that the issue was performed. The issue transactions are posted to application history and the inventory amount is adjusted according to the issued quantity.
